Job Description
Role Summary
The Executive Assistant to Product/VAS function is responsible for providing comprehensive support to ensure the efficient operations of the office. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
What a Executive Assistant to Product and VAS does at Visa:
Administrative Support
- Manage the Head of Product and VAS function’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Organize and maintain files and records including being a gatekeeper of registered corporate seals, supporting for documentations of the shareholder’s meeting.
- Coordinate and manage special projects as assigned.
Meeting and Event Coordination
- Plan, coordinate, and ensure Head of Product/VAS’s schedule is followed and respected.
- Organize and prepare for meetings, including attending logistics where necessary.
- Coordinate with other executive assistants for their executives’ visit to the country.
- Provide necessary support to office-wide events/meetings and CMS team’s meetings as necessary.
Communication Liaison
- Serve as the point of contact between the Head of Product/VAS and internal/external stakeholders.
- Handle confidential information with discretion.
- Communicate on behalf of the Head of Product/VAS as necessary.
Travel Management
- Arrange complex and detailed travel plans, itineraries, and agendas.
- Provide detailed travel itineraries and ensure all travel arrangements meet the Head of Product/VAS needs.
Personal Assistance
- Provide personal assistance to the Head of Product/VAS as required, including handling personal appointments and tasks.
This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.
Qualifications
What do you need:
- Minimum of 5 years of experience as an executive assistant or in a similar role.
- Proven experience in providing high level administrative support in a fast paced environment.
- Proficiency in Microsoft Office, SharePoint and Microsoft Teams and other software.
- Excellent organizational skills and the ability to handle multiple competing priorities with attention to details.
- Demonstrated initiative, flexibility, teamwork, maturity under pressure, and can anticipate and resolve problems before they escalate.
- Able to work with little or no direction, take initiative, exercise good judgment, discretion and confidentiality in all tasks
- High degree of professionalism and emotional intelligence.
- Excellent verbal and written communication skills in both Japanese and English.
- Strong interpersonal skills and the ability to build relationships with stakeholders.
- Flexible and adaptable to changing priorities and supporting ad-hoc tasks.
