Job Description
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant and Paralegal, Legal Function – LAC to support the Latin America and Caribbean Legal team, based in Mexico City.
This role is ideal for a professional with strong executive assistant, legal administrative, legal operations, contract coordination, budget management, expense control, or paralegal support experience. The position is focused on administrative and operational support for the Legal function and is not intended for practicing attorneys.
The successful candidate will help ensure the smooth day-to-day operation of the LAC Legal team by supporting budget tracking, invoice coordination, document management, presentation development, contract administration, and other legal administrative processes. This person will work closely with attorneys, outside counsel, finance, and internal business partners across the region.

Qualifications
Basic Qualifications:
4 of relevant experience.
Juris Doctorate degree from an accredited law school.
Current member in good standing of a State Bar with the ability to become barred or a registered in-house counsel in the state where this role is located.
Preferred Qualifications
4+ years of experience in one or more of the following:
Executive assistant support
Legal administrative support
Legal operations coordination
Paralegal support
Corporate administrative support for senior leaders or legal teams
Experience supporting attorneys, executives, or corporate functions in a fast-paced environment.
Excellent organizational skills with strong attention to detail and follow-through.
Strong written and verbal communication skills in Spanish and English.
Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
Ability to manage multiple priorities, work independently, and meet deadlines with minimal supervision.
High level of discretion, professionalism, and sound judgment when handling confidential matters.
Experience in a multinational company, law firm, or in-house legal department.
Prior experience with legal billing, budget tracking, contract coordination, or records management.
Familiarity with tools such as CounselLink, Icertis, SharePoint, Teams, or similar legal and document management systems.
Portuguese language skills are a plus.
Bachelor’s degree or equivalent practical experience.

Key Responsibilities
Legal Administrative and Executive Support
- Provide day-to-day administrative support to the LAC Legal team, including calendar coordination, meeting logistics, preparation of presentations, spreadsheets, reports, and internal materials.
- Support team organization, follow-up, and coordination of deliverables across multiple stakeholders and time zones.
- Assist with preparing, formatting, proofreading, and organizing legal and business documents.
- Maintain confidentiality of sensitive legal, financial, and business information at all times.
- Track legal spend and assist with budget monitoring, reporting, and periodic updates.
- Support the preparation of budget reports and alert the team to unusual spending trends or variances.
- Coordinate with law firms and internal teams to ensure invoices are submitted, reviewed, approved, and paid on time.
- Serve as a point of contact for billing-related follow-up and resolution of invoice discrepancies.
- Provide administrative support for contract processes, including document routing, version control, filing, tracking, and repository management.
- Support the maintenance of legal templates, forms, and standard documents.
- Assist with basic proofreading, formatting, and translation of simple agreements and legal documents.
- Maintain organized legal records, files, and shared repositories in accordance with internal processes.
- Coordinate document notarizations, apostilles, legalizations, and related administrative formalities.
- Support the development and maintenance of intranet content, trackers, process documents, and team resources.
- Help improve administrative workflows and support efficiency initiatives within the Legal function.
- Assist with special projects and other operational tasks as needed.
